General Event Information
What is the Indiana Wellness Summit?
The Indiana Wellness Summit is Indiana’s premier employer wellness conference, bringing together professionals who are passionate about creating healthier workplaces and communities. The Summit features nationally recognized keynote speakers, breakout education sessions, networking opportunities, exhibitors, wellness resources, and the AchieveWELL Awards Luncheon.

The Summit is designed for anyone involved in employee or community well-being, including:

Registration
How do I register?
Registration is available through the Registration webpage HERE. Member and non member pricing are detailed as well as group discounts (for the Summit only) if you have a group that qualifies.

What does my registration include?
Full Summit registration includes access to educational sessions, keynote presentations, networking opportunities, exhibitors, and the AchieveWELL Awards Luncheon (unless otherwise noted).
Can I register on-site?
If space remains available, on-site registration may be offered. We recommend registering in advance to guarantee your spot.
What is the cancellation policy?
Cancellations must be made no later than two weeks prior to the program for a full refund. After this date, no cash refunds will be granted. For more information, please refer to the registration page HERE for the current cancellation and substitution policy.
If you’re unable to attend, substitutions are typically welcomed before the event. Special accommodations made upon request.
Can someone attend in my place?
Yes. Registration substitutions may be permitted. Please contact the team at info@wellnesscouncil.org prior to the Summit so we can update attendee information.
Is there a discount available that I may be considered for?
Groups of two or more are eligible for a 20% discount with the promo code GROUP20. Discount applies to summit registration only, not awards lunch. If you have any questions, please contact our team at info@wellnesscouncil.org.
Event Experience
What should I wear?
Business casual attire is recommended. Meeting rooms can vary in temperature, so bringing a light sweater or jacket is encouraged.
Comfortable shoes are also recommended, as you’ll likely be walking between sessions and networking throughout the day.
Will meals be provided?
Meals and refreshments are included with your registration will be listed in the event agenda.
Are dietary accommodations available?
Yes. Dietary accommodation meals will be prepared for those who request meals in advance of the seminar. If you need a special meal, please notify us by August 24, 2026, at info@wellnessindiana.org. We appreciate your patience as your meal may be delayed if it was not pre-ordered.
When will dietary accommodations be considered?
Please know that dietary accommodations will primarily be considered for the Opening Session’s continental breakfast and the AchieveWELL Awards Luncheon. If applicable to your registration, we will consider for the VIP Reception as well.
What type of dietary accommodations are considered?
We consider vegetarian, vegan, gluten-free, and kosher. Please share within your event registration with explicit detail of what you are needing so we can ensure our catering menus can accommodate accordingly.
We strive to work with our food service vendors to provide safe and delicious meals for those with dietary restrictions. Despite taking every precaution, we cannot guarantee menu items are free of trace amounts of allergens or other ingredients.
Will presentation materials be shared?
Many speakers choose to share their presentation slides or resources following the Summit. Materials will be distributed when permission has been granted by the presenter.
Speakers
What should speakers know before arriving?
Confirmed speakers will receive a pre-event email communication with presentation deadlines, AV details, room assignments, arrival instructions, and additional event logistics.
Please know our Programming team will be in contact with you regularly so you have a main contact to work with leading up to the event.
What audiovisual equipment is provided?
Standard meeting room AV will be provided, including projection, screen, microphone (as appropriate), and laptop connection.
If you have special AV requests, please notify the WCI team at info@wellnessindiana.org.
When should speakers arrive?
We recommend arriving at least 45 minutes before your scheduled presentation to check in, meet your room moderator, and test your presentation.
Can speakers promote their products or services?
Presentations should be educational in nature. While speakers may briefly introduce themselves and their organization, sessions should not serve as sales presentations.
Please know that the team reserves the right to check presentation decks before the event to verify that sales presentations and vendor demonstrations are avoided.

Please know that the application expires approximately 3 months out from the event date (subject to change). We will update the link each Spring when ready.
Will Wi-Fi be available?
Yes. Wi-Fi information will be provided on-site.

How do I view current sponsors?

When can exhibitors set up?
Registered exhibitors and sponsors will receive a pre-event email communication with load-in, load-out, shipping, parking, schedule of events, booth setup details (if applicable), and much more.
May I ship materials to the venue?
Yes. Shipping instructions and deadlines will be included in the pre-event email communication.
Parking & Venue Accessibility
Is parking available?
Parking information, directions, and venue details will be shared prior to the event and posted on the event website.
Is the venue accessible and ADA compliant?

I may need a Mother’s Room. Will there be one available onsite?
With every event, we aim to accommodate all mothers who need a private space to lactate. We strive to host inclusive, accessible events that enable all individuals, including individuals with disabilities, to engage fully. To request an accommodation, please contact us at info@wellnessindiana.org. Also, our team is happy to guide you to the designated space when needed onsite.
Miscellaneous
Continuing Education
Will continuing education credits be offered?
Yes, continuing education credits will be available. Eligible sessions and instructions for claiming credit will be communicated during or after the event.
What types of continuing education credits are offered?
The Summit offers SHRM, HRCI, and (M)CHES credits as part of the attendee experience. SHRM and HRCI credit codes will be provided to those who attended at least one week after the event. (M)CHES paperwork is required to be signed onsite at the end of each session for those that need that credit. We will follow up at least one month after the event with the appropriate confirmations and certifications.
For those that qualify, you may also earn one credit towards the completion of the Indiana Chamber Human Resource Specialist Certificate.
Networking
Will there be opportunities to network?
Absolutely! Networking is one of the Summit’s greatest strengths. You’ll have opportunities throughout the day to connect with fellow attendees, speakers, sponsors, exhibitors, and wellness professionals from across Indiana.
Photos & Media
Will photos or video be taken?
Yes. Photos and video may be captured during the event for future promotional and educational purposes. By attending, you acknowledge that your image may appear in event marketing materials.

Is there an opportunity for me or my employer to help promote the Summit?
Yes! We welcome social media support from future attendees and overall employers who may have representatives in attendance. For graphics and sample captions, see our social media kits HERE.
If you have your own photos as an attendee, feel free to utilize those images in addition to our curated graphics.
